PRESCREEN & CV SUBMISSION

  1. Schedule the initial phone interview with the client and candidate. Where possible, send the Zoom/Teams invite and sit in on the interview to observe and gain insight into the opportunity and organization.
  2. Within 24 hours of the initial phone interview, speak with both the client and candidate to set dates for the onsite visit or next round of interviews.
  3. Once your client agrees to bring them onsite, create a Cover Letter using the AI Cover Letter Template and email to Chris for review. Once approved, upload to the candidate's Bullhorn profile.
  4. Once all phone/Zoom interviews are completed, confirm the onsite interview date and verify with the client how candidate travel will be booked and paid.
  5. Once an onsite interview is confirmed, partner with your Mentor (assigned training recruiter) to review the Pre-Interview Agenda.
  6. Schedule a pre-interview call series with the candidate. The pre-interview process should include several scheduled conversations — see the Pre-Interview Agenda document for full steps. At minimum, these calls should cover:
    • Itinerary review and interview prep
    • Candidate decision-making process and pre-close
    • Compensation and contract elements review (see Contract Reviews below — these calls may be combined)
  7. Review key contract elements with the candidate. You do not need an actual contract to do this — information should have been obtained during the profile.
  8. Log the interview through the Bullhorn workflow (see Section B below).
  9. Send an email announcement to the Perm, BD & Partners distribution lists with the following format:
    • Subject Line: +1 IV [Month] (e.g., +1 IV March)
    • Body: Candidate name, client name, client location, and interview date
  10. If the candidate is booking their own travel, obtain copies of flight information, hotel reservations, and rental car confirmation as soon as travel is booked.
  11. Schedule a Personal IV with the candidate, their significant other (if applicable), and your Mentor — virtual or in person if possible — prior to the onsite interview.
  12. After the Personal IV, email the client with a recap and any new information gathered.
  1. On the candidate's record in Bullhorn, click the green “Name Clear” workflow button.
  2. Under the Name Clear section, check the box next to your job number, then click the Move dropdown and select Interviewing.
  3. In the pop-up window, confirm that "Schedule Appointment Now" is set to Yes, then select Move at the bottom right.
  4. On the Add Appointment page, update the start date to the interview date and select Save.
    • Notify Attendees should be set to ‘No’, Visibility should be set to ‘Public’ and Communication Method should be set to ‘Onsite Appointment’ for Onsite IVs.

Note: It is a requirement for all recruiters to have Chris Kahl (CTO) on all Contract Review calls unless individually approved to conduct the call independently. Email Chris Kahl (CTO) and Courtney Yudin (EVP) to confirm availability before scheduling. Include the spouse on the call whenever possible — they are typically very eager to participate.

Contract Review 1 — Terms & Malpractice

Focus: Severability, Assignment, Malpractice Insurance, Term of Contract, and Out-Clause.

  1. You do not need an actual contract to conduct this review — the necessary information should have been obtained during the profile.
  2. Schedule the call at a time that works for the candidate. Whenever possible, include the spouse on the call.
  3. Email Chris Kahl (CTO) and Courtney Yudin (EVP) to confirm who is available to join.
  4. Once confirmed, create a note in Bullhorn on the candidate's record titled "Contract Review 1" with the date of the call, tag the person joining, and add the 4-digit search number.

Contract Review 2 — Compensation & Decision Making

Focus: Compensation, proforma, bonuses, and decision-making process.

  1. Schedule the call at a time that works for the candidate. Whenever possible, include the spouse on the call.
  2. Email Chris Kahl (CTO) and Courtney Yudin (EVP) to confirm who is available to join.
  3. Once confirmed, create a note in Bullhorn on the candidate's record titled "Contract Review 2" with the date of the call, tag the person joining, and add the 4-digit search number.

Contract Review 3 — Final Commitment

Focus: Review the official contract with your candidate and gain their commitment to accepting the position.

  1. Schedule the call at a time that works for the candidate. Whenever possible, include the spouse on the call.
  2. Email Chris Kahl (CTO) and Courtney Yudin (EVP) to confirm who is available to join.
  3. Once confirmed, create a note in Bullhorn on the candidate's record titled "Contract Review 3" with the date of the call, tag the person joining, and add the 4-digit search number.
  1. Before speaking with the candidate post-interview, meet with Courtney Yudin (EVP) and/or Chris Kahl (CTO) to strategize and game plan.
  2. Speak with the client to discuss their intent to make an offer.
  3. Speak with the candidate to gain their commitment or identify what they need in order to commit.
    • Once confirmed, create a note in Bullhorn on the candidate's record titled "Closing Call" with the date of the call, tag the person joining, and add the 4-digit search number.
  4. Call the client after speaking with the candidate to share the candidate's needs and concerns.
