PROFILE PROCESS

  • Confirm dates for the onsite profile with the client.
  • Email profilealert@pacificcompanies.com to notify the team of the upcoming profile. Use the following format:
    • Subject Line: Upcoming Profile — [Dates]
    • Body must include: Client Name, Job Number, Location, Profile Dates, whether BD or Mentor is attending, and whether profile expenses are billable to the client.
  • Courtney Yudin (EVP) will schedule a pre-profile meeting with the Recruiter, BD, and Chris.
  • Request the itinerary from the client and review with Chris.
  • Download the Travel Request Form (link in Resources below), complete it, and send to Courtney Yudin (EVP) for the Pacific Companies Travel Department to book profile travel.
  • Draft a Pre-Profile Letter and send to the client, CC'ing BD. Save the letter in SharePoint under the Client Folder.
  • Complete the Pre-Profile Checklist (link in Resources below) to ensure all pre-profile preparations are done.
  • Create Initial Ad-Text using the Initial Job Board AdText Template — Pre-Optimized. Send to Chris for review and save in the Client Folder in SharePoint. Must be completed within 48 hours of the hand-off call.
  • Request mail count and review the Approved Job Boards List for the MAPS campaign. Any societies or job postings outside the approved list must be approved by Courtney Yudin (EVP) prior to allocating. Approved Job Boards List 2026.xlsx
  • Start the Direct Mail process. See Direct Mail Tab for specific steps.
  • Review the PC Travel and Business Expense Policy before traveling.

  • Print and bring MGMA Data, Market Summary, Hand-Off Call Notes, Community Profile Guide, and written prepared questions to the profile.
  • Look up your specialty(ies) in the MGMA Starting Compensation Lookup table and print the result to take to profile. Tables are set up to print on a single page.
  • Print Onsite Profile Specialty Questions and take to profile.
  • Review Market Summaries for your specialties prior to and during the profile.
  • Ensure you can clearly and definitively define the need for recruitment — refer to the Defining the Need document.
  • Ensure you understand and can address the important elements of your client's contracts — refer to Main Elements of a Contract.
  • Review past placement compensation summaries for context on recently accepted financial offers.

  • Submit profile expenses through Paycom within 24 hours of returning from the profile. Send the Excel report to Courtney Yudin for review. She will forward it to Drew Shah for processing.
  • Courtney Yudin (EVP) will schedule a post-profile debrief meeting with the Recruiter, BD, Chris, Bryan Underwood, and John.
  • Complete the Post-Profile Checklist (link in Resources below).
  • Create and send the Post-Profile Letter to the client within 2 days of returning from profile (link in Resources below). Save the letter in SharePoint under the Client and Search folder.
  • Upload profile meeting recordings and any profile notes to SharePoint under the Client and Search folder.
  • Get revised ad-text approved by Chris, then the client, within 2 days of returning from profile.
  • Update the job board posting and create a Bullhorn note within 2 days of returning from profile. See Job Board Posting Process tab for specifics.
  • Review draft PC Compass, make revisions, and send to Chris for approval within 7 days of profile See PC Compass Process tab for specifics.
